REFUND POLICY

Refund Policy

Clear, fair terms covering when refunds apply, how they are calculated and how to request one.

In short: cancel before work starts and you get a full refund. Once work begins, refunds are calculated milestone by milestone — completed work is not refundable, unstarted work is.

1. Overview

At CodeDigix we want every client to be satisfied with the work we deliver. This Refund Policy explains when refunds are available, how they are calculated and how to request one. It applies to all services purchased from CodeDigix through codedigix.us, including AI automation, software development, web design, digital marketing, cloud and IT support services.

Because our work is custom and delivered by human effort over time, refunds are handled on a milestone basis rather than as a blanket money-back guarantee.

2. Refund Eligibility

You may be eligible for a full or partial refund in the following situations:

  • Cancellation before work begins. If you cancel in writing before any development, design or campaign work has started, you are entitled to a full refund of amounts paid, less any non-recoverable third-party costs already incurred on your behalf.
  • Non-delivery by CodeDigix. If we fail to deliver an agreed milestone and cannot provide a reasonable remedy or revised timeline, you may request a refund for that undelivered milestone.
  • Duplicate or incorrect payment. Any accidental duplicate charge or billing error is refunded in full once verified.
  • Material deviation from agreed scope. If delivered work materially fails to meet the written specification and we are unable to correct it within a reasonable revision period, a partial refund may be issued for the affected portion.

3. Non-Refundable Items

The following are not eligible for refund:

  • Work already completed, delivered or approved, including partially completed milestones.
  • Time and materials already consumed on hourly or retainer engagements.
  • Discovery, consultation, audit, strategy and documentation deliverables once provided.
  • Third-party costs paid on your behalf — domains, hosting, licences, plugins, themes, API usage, AI model credits, stock assets and advertising spend.
  • Advertising budget already spent on Google, Meta, LinkedIn or other platforms.
  • Monthly maintenance, support or marketing retainers for periods already served.
  • Projects cancelled due to client inactivity, failure to provide required materials, feedback or approvals for more than 30 consecutive days.
  • Requests based on a change of mind, change of business direction or internal budget changes after work has commenced.
  • Issues caused by third-party platforms, hosting outages, algorithm changes or client-side modifications made after handover.

4. Milestone-Based Projects

Most projects are structured into milestones with associated payments. Refunds on such projects are assessed as follows:

  • Completed and approved milestones are non-refundable.
  • The milestone in progress is assessed on the proportion of work completed, evidenced by commits, design files, deliverables and time logs.
  • Milestones not yet started are refundable in full.

Upon refund of an incomplete milestone, any deliverables associated with that milestone remain the property of CodeDigix and may not be used.

5. Digital Marketing & Advertising

Marketing engagements carry specific conditions because results depend on external platforms and market conditions:

  • Management fees cover strategy, setup, execution and reporting time, and are non-refundable once the service period has begun.
  • Advertising budget paid directly to platforms is not refundable by CodeDigix. Unspent budget held by us can be returned or reallocated.
  • We do not guarantee specific rankings, traffic volumes, lead counts or revenue figures, and refunds are not issued on the basis of results alone.
  • Monthly campaigns may be cancelled with 15 days' written notice before the next billing cycle.

6. Subscriptions, Retainers & Maintenance

Recurring plans renew automatically until cancelled:

  • Cancel at least 7 days before the renewal date to avoid the next charge.
  • Cancellation stops future billing; the current paid period continues until its end date.
  • Partial months are not refunded, and unused hours do not carry over unless expressly agreed in writing.

7. Revisions Before Refunds

We strongly prefer fixing problems over refunding them. Every project includes a defined number of revision rounds, and every deliverable includes a warranty period for defect correction at no additional cost.

Before a refund request is considered, we ask that you allow our team a reasonable opportunity — normally up to 14 business days — to address the concerns raised in writing.

8. How to Request a Refund

To request a refund, email info@codedigix.us with the subject line "Refund Request" and include:

  • Your full name and company name.
  • Invoice number and payment date.
  • The service or milestone concerned.
  • A clear description of the issue and, where relevant, supporting screenshots or documents.

Refund requests must be submitted within 14 calendar days of the delivery date or payment date of the item concerned. Requests submitted after this window may not be eligible for review.

9. Review and Processing Time

Once a request is received:

  • We acknowledge it within 2 business days.
  • We review the project record, deliverables and correspondence within 5–7 business days.
  • We communicate the decision in writing along with the reasoning and, where applicable, the calculated amount.
  • Approved refunds are processed within 10 business days to the original payment method.

Depending on your bank or card provider, funds may take a further 5–10 business days to appear in your account. Any transaction or currency conversion fees charged by payment processors are non-recoverable and may be deducted.

10. Effect of a Refund on Ownership

Where a refund is issued for a deliverable, all rights, licences and ownership relating to that deliverable revert to CodeDigix immediately. You agree to cease use of the refunded work, remove it from all systems and delete any copies in your possession. Access to associated repositories, accounts or environments may be revoked.

11. Chargebacks

Please contact us before initiating a chargeback or payment dispute. Most concerns are resolved quickly through direct communication. Filing a chargeback without first contacting us may result in suspension of active services, withholding of deliverables and recovery of associated costs. We reserve the right to submit full project documentation to the payment provider in response to any dispute.

12. Changes to This Policy

We may revise this Refund Policy from time to time. The version in force at the time of your purchase governs that transaction. Updated versions are published on this page with a revised date, and continued use of our services indicates acceptance.
